Purchase to order automation

Overview

The Purchase to order automation bot sends an order to a supplier when you sell a product that you've created in Cin7 Omni but don’t hold in stock.

This bot eliminates the need to use the Smart Buyer to buy products. This automation applies only to products with Purchase to Order as their product Order Type and assigned suppliers.

This is useful if you sell a supplier’s full catalog of products but do not hold all those products in your inventory.

Create a purchase to order bot

  1. From the left navigation select Admin then select Cin7 Automation Bots.

  2. Select Create New Automation Bot.

  3. Scroll down to Purchasing, and select Purchase To Order.

  4. In the Name field, give the bot a name.
    This is useful if you are setting up multiple Dropship bots. Once created, the name can be changed at any time in Settings.

  5. Select Create Automation.

Configure the automation

Use the Settings page to configure the automation to apply to specific channels, branches, and order thresholds as follows:

  1. If you use ecommerce (e.g. Shopify), marketplace (e.g. Amazon Seller), or EDI, you can use Tags to add your sales channels to your channel workflow diagram.

  2. Select All Branches or the specified branches in which this automation will be used.

  3. Select which suppliers will receive purchase orders for your Purchase to Order products.

  4. Select the minimum and maximum thresholds for the products
    For the thresholds to pick up in the purchase order, this has to be entered in the products module for the products.

Additional configuration

Under Action:

  1. For Transaction Creation Consolidation, determine if the bot creates a purchase order for each sales order or consolidates sales orders in one purchase order.

  2. Choose the bulk email template you want to send. Only purchase order bulk email templates will show in the drop-down list.

  3. Choose the email you want to send your bulk email from.

  4. Optionally, you can type the email addresses you would like to send the email to. If you have multiple email addresses, type these in separated by a comma. If you leave the field blank, it will send the email to the email address in the purchase order.

  5. For Notification, enter an email address where a summary of automation action will be sent.

Under Schedule:

  1. Set the days, time, and frequency the automation will run automatically. Or select Click on Demand to allow a user to run the automation at will.

View the automation workflow

Once configured, the Purchase to Order Automation Bot workflow can be viewed in the Purchasing tab of the Automation Bots Dashboard.

The workflow shows when the automation was run last, when it is scheduled to run next, and configuration settings.

Selecting Preview will show a summary of the results of running the Automation while selecting Run will initiate the Automation Bot.
