Map products to WooCommerce
Overview
Find out how to map, unmap, and remap Cin7 Omni and WooCommerce products.
A mapping links a product in Cin7 Omni to a product in WooCommerce.
Mappings ensure your products’ costs, prices, stock levels, and other descriptive details keep in sync. They reduce the need for manual data entry, improve the customer experience, and ultimately underpin a centralized inventory.
For example, if you dispatch a product in WooCommerce, the stock level of the product it’s mapped to decreases in WooCommerce. And if you receive units of product in Omni, the stock level of the product it’s mapped to increases in WooCommerce.
When you upload a new product to WooCommerce or download a new product from WooCommerce, mappings are automatically created between the product’s Omni and WooCommerce versions. But you may need to create mappings for products that already exist in both WooCommerce and Omni, too, or delete mappings that are obsolete.
What products can I map?
You can create mappings between:
A WooCommerce product and an Omni product*
A WooCommerce product and an Omni product option
A WooCommerce product and an Omni size option
A WooCommerce product and an Omni unit of measure (UOM)
A WooCommerce variation and an Omni product*
A WooCommerce variation and an Omni product option
A WooCommerce variation and an Omni size option
A WooCommerce variation and an Omni unit of measure (UOM).
(* Keep in mind that Omni products always have at least one option. So when you create a mapping from an Omni product, you’re really creating a mapping to the product’s default option.)
In order to create a mapping between products, the products must be mappable and unmapped. That means:
The SKU of the WooCommerce product must match the Code or Barcode of the Omni product.
Neither product has any mappings. For Omni products, this means neither the product nor any of its options, size options, or units of measure have mappings to WooCommerce. And for WooCommerce products, it means neither the product nor any of its variations have mappings to Omni.
If you want to create a new mapping for a product with an existing mapping (for example, for a new WooCommerce variation), you must remap the product (see below). If you want to map units of measure (UOMs), follow these instructions for mapping UOMs instead.
Create mappings
Before creating mappings, you must have enabled Download Products in your WooCommerce integration settings.
Then you can create mappings:
Log in to Cin7 Omni.
From the Integrations menu in the navigation, open your WooCommerce integration.
On the Product Status tile, select Download Products.
Open the Download Products tab.
-
Select either:
Import Products Created Since Last Import, to only create mappings for mappable, unmapped WooCommerce products that you’ve created since you last downloaded products, or
Import All Products, to create mappings for any mappable, unmapped WooCommerce product.
You’ll be given the total number of unmapped WooCommerce products – that includes products you can create mappings for, products you can create custom mappings for (see below), and products you can download.
Select Next to create the mappings.
You'll be given a summary. The total of Existing Price Options Linked and Existing Size Options Linked is the number of mappings that were created.
You’ve created your mappings. Now select Back to Dashboard, where you can view your mappings (see below).
Create custom mappings
A custom mapping links unmappable, unmapped products.
Like a regular mapping, a custom mapping links Omni and WooCommerce products. The difference is that neither the Code nor Barcode of the Omni product needs to match the SKU of the WooCommerce product.
To create a custom mapping, follow the steps above to create regular mappings, which end at step 8 on the Product Not Matched tab. Then:
Select Next. You’ll be taken to the Custom Mappings tab.
Select Download Products to Apply Custom Mappings. A spreadsheet will download.
Open the spreadsheet. Each row is an unmapped, unmappable WooCommerce product. You can create custom mappings for any of these products.
For each product you want to create a custom mapping for, enter the Code of the Omni product, product option, size option, or unit of measure that you want to map it to into the column Cin7 Code.
Save the spreadsheet.
In Omni, select Choose File and upload the edited spreadsheet.
Select Next. You’ll be given a summary. The total of Product Options Mapped and Size Options Mapped is the number of custom mappings that were created.
Select Back to Dashboard to finish.
Now you can view your mappings (see below).
View and delete mappings
Log in to Cin7 Omni.
From the Integrations menu in the navigation, open your WooCommerce integration.
On the Product Status tile, select View Mapped Products.
-
Either:
To delete a single mapping, select Delete next to it, or
To delete all mappings, select Delete All – this cannot be undone.
Remapping
In order to create a new mapping, the Omni and WooCommerce products must both be entirely unmapped – for example, you can’t create a mapping between a new product option and its matching variation if existing options and variations are already mapped.
So, if you create new Omni products, product options, size options, or units of measure to map to WooCommerce – or, conversely, if you create new WooCommerce products or variations to map to Omni – and either the Omni or WooCommerce product is already partially mapped, you must completely remap the product:
Delete the mappings (see View and delete mappings above) linked to the Omni product (including options, size options, and units of measure) and the WooCommerce product (including variations) for which you want to create an additional mapping.
Create new mappings (see Create mappings above).
