Transfer sales orders to 3PL

Overview

Find out how to transfer sales orders to third-party logistics providers (3PLs) for fulfillment.

When using third-party logistics (3PL) to fulfill a sales order, you must send your 3PL a request to fulfill the order and then receive confirmation of each request.

Your request is called a pick request and the confirmation is called a pick confirmation. The pick request tells your 3PL what stock to pick and where to send it, and the pick confirmation tells you what was picked and who received it, and marks the end of the workflow.

We strongly suggest contacting Cin7 Omni Support and setting up a scheduler. A scheduler will automatically export and import all your pick requests and confirmations.

1. Prerequisites (create pick request)

A sales order must meet these conditions to be transferred to a 3PL:

  • Its Created Date is within the past 180 days.

    Its Branch (or Distribution Branch, if any) is a branch linked to the 3PL (find out how to link branches to 3PLs).

  • Either:

    • Its has a Fully Dispatched date and its 3PL Status is Transfer to 3PL Upon Complete, or else

    • Its 3PL Status is Transfer to 3PL Now.

2. Transfer to 3PL (export pick request)

Once the sales order meets the prerequisites for transfer, its pick request will be exported automatically by your scheduler.

If you haven't set up a scheduler, you can export the pick request manually:

  1. From the Integrations menu in the navigation, open your 3PL's integration dashboard.

  2. On the Ready for Export tile, either:

    1. Select Export beside the pick request to export, or

    2. (Recommended) Select Export All, which exports all pick requests pending export.

Once a sales order has been transferred to your 3PL (that is, once its pick request has been exported), its 3PL Status will change to Transferred to 3PL for Picking.

3. Import pick confirmation

Eventually, once your 3PL has fulfilled the order, you'll receive a pick confirmation, which will be imported automatically by your scheduler.

If you haven't set up a scheduler, you can import the pick confirmation manually: 

  1. From the Integrations menu in the navigation, open your 3PL's integration dashboard.

  2. On the Ready For Import tile, select Import All, which imports all pick confirmations pending import.

If you receive an error, find out how to fix errors importing pick confirmations.

If your 3PL doesn't fulfill the entire order, then a backorder will be created when the pick confirmation is imported – to identify the backorder, look for a sales order with the same reference as the original but with an alphabetical suffix.

Explanation of 3PL Status

The 3PL Status of a sales order is visible on the Admin screen of the transaction. It keeps you up to date by telling you where the order is within your fulfillment workflow.

Here's an explanation of each 3PL Status:

Transfer to 3PL Upon Completion

The default status. The order has not been transferred to your 3PL. It can be transferred while in this status if the other prerequisites are met.

Transfer to 3PL Now

The order has not been transferred to your 3PL. It can be transferred while in this status if the other prerequisites are met.

This status can only be set manually.

Transferred to 3PL for Picking

The order has been transferred to your 3PL (that is, the pick request has been exported) and you are awaiting confirmation of fulfillment (that is, awaiting the pick confirmation).

Transferred to 3PL with Errors

Like Transferred to 3PL for Picking, except an error occurred during transfer, which you must investigate.

Do Not Transfer to 3PL

The order has not been transferred to your 3PL. It cannot be transferred while in this status either.

This status can only be set manually.

Picked by 3PL Successfully

The order has been transferred to your 3PL (that is, the pick request has been exported) and your 3PL has confirmed fulfillment (that is, you've received the pick confirmation).

Picked by 3PL with Errors

Like Picked by 3PL Successfully, except an error occurred while importing the pick confirmation, which you must investigate.
