Create a quote
Overview
Quotes can be used to send a proposal to your customers, to indicate quantities and pricing.
There are several advantages to using Cin7 Omni for quoting:
Quotes can be copied to sales orders from within the system, saving data entry.
Customers can approve quotes themselves, creating a sales order in your system automatically.
You can easily filter on quotes set to expire in order to chase up customers.
You can report on quotes lost or won to analyze your business processes
Create a quote
From the left navigation, click Sales, then Quotes.
Click New Quote.
Search your CRM for the Company or First Name in the contact fields at the top of the screen.If the customer does not already exist in your CRM, filling out the contact details in the quote will create a new customer upon approval.
Choose the correct Branch from the dropdown, if appropriate.
Enter products, quantities and prices into the grid at the bottom half of the screen.
Enter an Expected Order date - the date which you expect the quote to be converted to Sale.
Estimate the Probability of Winning by selecting from the dropdown.
Click Approve and Email to finalize the quote.
You can then email the customer a PDF of the quote. This PDF will not update if you change your quote in future. If you make any changes to your quote, you will need to resend them a new PDF of the quote.
Quotes do not affect the inventory levels of your products. Only upon copying the Quote to a Sales Order will Stock Available be affected.
Create a new version of a quote
You can create a new version of the quote from the Admin page. This can be done after changing prices, quantities, or items.
From the left navigation, select Sales, then Quotes.
From the Quotes list, hover over the cog icon for the quote and select Admin. You can also select Go to Admin or Save to Admin from within the quote.
Hover over Actions and select Create New Version A,B,C.
Cin7 Omni creates a new quote with a letter appended to the quote number (A, B, and so on) and copies all products and fields from the original. When you create a new version of a quote, the original quote is voided. This keeps a single active quote for the customer while preserving the earlier version for your records.
Voiding the previous version applies to quotes only. Creating a new version of other transaction types, such as sales orders, does not void the original.
Copy a quote
You can also reuse a quote without voiding the original. This may be done when you want to create a similar quote for a different customer or project. use the copy actions on the quote's Admin page instead of creating a new version. Hover over Actions and select one of the following:
From the left navigation, select Sales, then Quotes.
From the Quotes list, hover over the cog icon for the quote and select Admin.
Hover over Actions and select one of the following options:
Copy All Items to create a new quote with all fields from the original quote.
Copy Selected Items which opens a window where you choose which items to copy to a new quote.
Both actions leave the original quote active.
